Share files and folders in SharePoint

SharePoint is your company's shared file server in the cloud. Everyone works in the same file, you can see who has access, and you can bring back earlier versions. It beats email attachments on every count.

Share a file

  1. Go to office.com, sign in and open SharePoint from the app launcher.
  2. Find the file and tick the box to the left of its name.
  3. Click Share in the toolbar, or right-click the file and select Share.
  4. Enter the email address of the person you want to share with.
  5. Choose Can edit or Can view.
  6. Add a message if you like, and click Send.

Share a folder

Same steps: right-click the folder, select Share, enter the email address, choose the access level and send.

Would you rather send the link yourself by email or in Teams?

  1. Right-click the file or folder and select Copy link.
  2. Choose who the link works for: Anyone with the link requires no sign-in, so be careful. People in your organization requires a work account. Specific people works only for the people you name.
  3. Click Copy and paste the link wherever you need it.

Remove access

  1. Right-click the file or folder and select Manage access.
  2. Click X next to the person you want to remove, and confirm.

Work in the same document

Word, Excel and PowerPoint files in SharePoint can be opened by several people at once in the browser. Changes show up for everyone right away.

Common errors

  • “You need permission to access this item.” The person who shared it may have used the wrong email address, or access has been removed. Ask for a new sharing link.
  • The file no longer exists. It may have been deleted or moved. Check the recycle bin in the menu on the left in SharePoint.
