Set up Microsoft Authenticator (MFA)
Multi-factor authentication (MFA) adds an extra layer to your sign-in. In addition to your password, you verify who you are with an app on your phone. That way, nobody can get into your account even if they've got hold of your password. Microsoft 365 uses the Microsoft Authenticator app.
How to set up the app
If you're asked to set up Microsoft Authenticator when you sign in, you only need to download the app (step one) and skip straight to step four.
- Download Microsoft Authenticator from the App Store (iPhone) or Google Play (Android).
- Go to aka.ms/mfasetup in a browser on your PC and sign in with your work email and password.
- Select Add sign-in method and then Authenticator app.
- Click Next until a QR code appears on the screen.
- Open the Authenticator app on your phone, tap + in the top right corner, select Work or school account and scan the QR code. The app adds the account.
- Click Next on your PC. Microsoft shows a number, which you enter in the app before approving.
MFA is now active on your account.
How to sign in with MFA
- Enter your email and password as usual.
- Microsoft shows a number on the screen, for example 42.
- Open the Authenticator app on your phone, enter the same number and approve.
Not getting the approval on your phone?
- Check that your phone is online, on either mobile data or Wi-Fi.
- Open the Authenticator app yourself and see if an approval is waiting.
- Select Use a verification code on the sign-in page. The app shows a six-digit code that you enter.
