Set up Outlook on iPhone

The Outlook app for iPhone is free and gives you email, calendar and contacts from your work account in Microsoft 365. You need your email address, your password and an internet connection.

Step 1: Download Outlook

  1. Open the App Store.
  2. Search for “Microsoft Outlook”.
  3. Tap Get and install the app.

Step 2: Add your account

  1. Open Outlook and tap Add Account.
  2. Enter your work email address and tap Continue. Outlook recognizes Microsoft 365 and opens Microsoft's sign-in page.
  3. Enter your password and tap Sign in.
  4. If you use MFA, approve the sign-in in the Authenticator app.
  5. If you're asked to add another account, tap Maybe Later.

Outlook starts syncing your email, contacts and calendar.

  • Notifications: go to Settings on your iPhone, select Outlook and Notifications, and turn on notifications for new email.
  • Focused Inbox: Outlook sorts email into “Focused” and “Other”. If you want everything in one list, tap the gear icon in Outlook and turn off Focused Inbox.
  • Swipe actions: under Swipe Options, you decide what happens when you swipe on an email.

Common problems

  • Outlook keeps asking for your password. Your password may have changed, or the MFA session has expired. Sign out of the account in Outlook and sign in again.
  • Email isn't syncing. Check your internet connection, pull down in the inbox to refresh, and close and reopen the app. Restart your iPhone if that doesn't help.

Prefer Apple Mail?

You can also use the Mail app that comes with the iPhone: select Settings, Apps, Mail and Mail Accounts, then Add Account and Microsoft Exchange. On older iOS versions, it's under Settings and Mail. We still recommend the Outlook app. It has more features, including shared mailboxes.
