Your mailbox is almost full

Most Microsoft 365 subscriptions include a 50 GB mailbox per user. Some licenses, such as Exchange Online Plan 2 and Microsoft 365 E3, include 100 GB. When the mailbox is full, new email doesn't get through, and the sender gets an error message back.

Everything in the mailbox counts: email in all folders, attachments, calendar, contacts and tasks. Your files in OneDrive don't count.

Check how much space you're using

  1. Go to outlook.office.com.
  2. Click the gear icon in the top right corner, then View all Outlook settings.
  3. Select General and Storage.

How to free up space

  1. Empty Deleted Items. Right-click the folder and select Empty folder. Email you've deleted takes up space until the folder is emptied.
  2. Empty Junk Email the same way.
  3. Find the largest emails. Sort by size and delete emails with large attachments you don't need. Save the attachments to OneDrive first if you want to keep them.
  4. Share via OneDrive instead of attachments. The file then takes up space in one place, not in the mailbox of everyone who receives it.
  5. Don't rely on the Archive button. The Archive folder sits in the same mailbox and frees up no space. If you need a real archive, see the next section.

Get an online archive

We can turn on an online archive (In-Place Archive) for your account. You then get a separate archive mailbox that's available in Outlook and on the web, and email older than, say, one or two years is moved there automatically with the folder structure intact.

  • Exchange Online Plan 1 gives you 50 GB extra.
  • Exchange Online Plan 2, Microsoft 365 Business Premium, E3 and E5 give you 100 GB extra, and the archive can expand automatically up to 1.5 TB.

The archive is turned on with no downtime. Get in touch at 38 27 80 00 or support@digiserv.no and we'll set it up.
