Connect OneDrive on your PC
OneDrive is the cloud storage that comes with Microsoft 365. Files you put there are available from your PC, Mac, phone and tablet, they're safe if your PC crashes, and you can bring back earlier versions of a file.
OneDrive comes preinstalled on Windows 11. Look for the cloud icon at the bottom right of the taskbar. If you don't see it, search for “OneDrive” in the Start menu.
Connect your work account
- Click the cloud icon in the taskbar and select Sign in.
- Enter your work email address and click Sign in.
- Enter your password, and approve with MFA if prompted.
- Choose where the OneDrive folder should be on your PC, and click Next.
- Choose which folders to sync, all or just some.
- Click Done. OneDrive starts syncing.
How to use OneDrive
- Save files straight to the OneDrive folder in File Explorer. Everything there syncs to the cloud.
- Status is shown by the icon next to each file: a blue cloud means the file is only in the cloud and downloads when you open it, a green check mark means it's downloaded and available on your PC, and a red X means something failed. Right-click the file to see what.
- Online: go to onedrive.com and sign in with your work account.
- Share a file: right-click the file, select Share, enter your colleague's email address, choose whether they can view or edit, and click Send.
Save space on your PC
OneDrive can keep files only in the cloud but show them in File Explorer as if they were stored locally. Right-click a file or folder and select Free up space. If you need a file with you offline, select Always keep on this device.
Common problems
- OneDrive isn't syncing. Check your internet connection. Click the cloud icon, select Pause syncing and then Resume syncing. If that doesn't help, sign out and back in from the OneDrive settings.
- Storage is full. Microsoft 365 Business gives you 1 TB per user. Contact us if you need more or want help cleaning up.
